The five failures we find in almost every account
Conversions defined as anything: phone clicks, page views, newsletter signups, and form fills all counted as leads, so the ads report is three times the CRM. No source captured on the form, so the CRM knows a lead arrived and not from where. Two analytics tags firing, or none. Offline outcomes never imported, so the platform optimizes toward form fills that never became meetings. And a dashboard nobody reads, because it answers questions nobody asked.
One client's paid search counted several actions as leads that were not. Correcting it to a submitted lead form only changed reported cost per lead by multiples and let spend optimize against real leads for the first time.
One conversion, one source, one report
Define a lead as a submitted form or a booked call, nothing else. Capture the source path and campaign on every submission and pass it to the CRM. Mark every lead with the date it was first contacted and the date it became a held meeting. Import held meetings back to the ad platform as the conversion that matters. Report monthly on one page: inquiries, meetings, and cost per meeting, by channel. That page decides the budget.
Where healthcare changes the rules
A practice cannot fire a pixel on a booking page without a business associate agreement, and Meta and Google do not sign one for those tools. Conversion tracking runs server side: the form posts to a covered system, and that system tells the ad platform a conversion happened with a click identifier and nothing about the person. You still get cost per booked consultation by campaign. That is the HIPAA form and call stack, $750 a month.
