Problem · Owners

Our appointment setting vendor books meetings and half of them do not show up.

The invoice says 15 meetings. Your calendar says six people showed, and two of those had no idea why they agreed. You are paying per meeting booked, the vendor is optimizing for meetings booked, and everyone is behaving rationally. The fix is a definition, written into the agreement, and a website that can carry the claim the setter made.

How people search thisappointment setting no show rate · appointment setter booking bad meetings · outsourced sdr meetings not qualified · pay per appointment leads not showing up · what is a qualified meeting appointment setting

On Kinetic, the monthly meeting number in writing counts held meetings with people who match agreed criteria. No shows and meetings that fail criteria do not count. Every booked meeting gets a confirmation sequence. Pricing is published.

Why meetings booked into a weak brand ghost

A setter gets a yes on the phone. Between that yes and the meeting, the prospect looks you up. If the site is a brochure with no pricing, no numbers, and no people, the yes turns into silence. No show rates above 30 percent are common when nobody runs confirmation sequences and the site cannot carry the claim. The setter did their job. The brand did not do its half.

Write the definition into the agreement

A qualified meeting is a held conversation with a person who matches criteria agreed before the program starts: role, company type, and a stated need, confirmed in advance, delivered with a brief on who they are and why they said yes. That sentence goes in the agreement next to the monthly number. Meetings that no show or fail criteria do not count. Any vendor who will not sign that sentence is selling you booked, not held.

What cuts no shows in half

A confirmation sequence: a calendar invite inside the hour, a reminder with the one page that answers their question the day before, and a text or call the morning of. A site the prospect can verify: pricing or a range, a result with a method, the people they will meet. And a brief for you, so the meeting starts where the call left off instead of restarting from hello. In our programs, held rate on confirmed meetings runs above 80 percent when the site does its half.

Questions on this problem

Pay per held qualified meeting if a vendor offers it. Most offer pay per booked, which creates exactly this problem. Our seat is a retainer with a held meeting number in writing.

Sometimes. If the site cannot carry the claim, fixing the site raises held rate for any setter, including theirs. That is Catalyst plus a landing page, then decide whether to keep them.

Then a pure play like Belkins is a credible choice and we will say so. Meetings booked into a strong brand hold. Meetings booked into a weak one do not, whoever books them.
